Cancellation Policy

Cancellation by Participant

We understand that plans can change. Our cancellation policy is designed to be fair to both our guests and our business operations.

Refund Schedule:

  • 14+ days before tour: Full refund minus 10% administrative fee
  • 7-13 days before tour: 50% refund
  • Less than 7 days before tour: No refund
  • No-show or late arrival: No refund

All cancellations must be submitted in writing via email to everpine-adventures@gmail.com. The cancellation date is determined by when we receive your written notice, not when you send it.

Cancellation by EverPine Adventures

We reserve the right to cancel tours due to:

  • Insufficient enrollment (minimum 4 participants required for group tours)
  • Extreme weather conditions or natural disasters
  • Trail closures or park restrictions
  • Wildlife activity or safety concerns
  • Guide illness or emergency

If we cancel your tour, you will receive:

  • Full refund of all payments made, OR
  • Credit toward a future tour with 10% bonus value, OR
  • Transfer to an alternative tour of equal or greater value

We will notify you of cancellations as soon as possible, typically at least 48 hours before departure. EverPine Adventures is not responsible for any additional costs you may incur due to tour cancellation (flights, accommodation, etc.).

Rescheduling

You may reschedule your tour one time without penalty if:

  • Request is made at least 14 days before the original tour date
  • The new tour date is within the same calendar year
  • Space is available on the requested date

Rescheduling requests made less than 14 days before departure are subject to the standard cancellation policy. Additional rescheduling requests will incur a $50 administrative fee.

Transfer to Another Person

You may transfer your booking to another person at no charge if:

  • The transfer request is made at least 7 days before departure
  • The new participant meets all tour requirements (age, fitness level, etc.)
  • The new participant completes all required waivers and documentation

Transfer requests made less than 7 days before departure will incur a $25 administrative fee.

Early Departure or Missed Days

No refunds are provided for:

  • Voluntary early departure from a tour
  • Missed tour days due to late arrival
  • Removal from tour due to behavioral or safety issues
  • Inability to complete tour due to inadequate fitness or preparation

Medical Emergencies

If you must cancel due to a medical emergency (serious illness, injury, or death of participant or immediate family member), we may offer a partial refund or credit at our discretion. Medical documentation will be required.

We strongly recommend purchasing travel insurance that covers trip cancellation, interruption, and medical emergencies.

Weather-Related Modifications

Minor itinerary changes due to weather (route modifications, shortened hikes, alternative destinations) do not qualify for refunds. Our guides will make every effort to provide the best possible experience while prioritizing safety.

Only complete tour cancellations initiated by EverPine Adventures qualify for refunds.

Refund Processing

Approved refunds will be processed within 10 business days to the original payment method. Please allow 5-10 business days for the refund to appear in your account, depending on your financial institution.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance that covers:

  • Trip cancellation and interruption
  • Medical emergencies and evacuation
  • Adventure activities and hiking
  • Lost or delayed baggage

Travel insurance can protect your investment and provide peace of mind. Many policies allow cancellation for any reason if purchased within 14 days of booking.
